Planning a Wedding in Tuscany? Things Nobody Tells You Before the Big Day

Planning a wedding in Tuscany is about much more than choosing a beautiful villa. After photographing destination weddings across Italy, I've realised that the biggest surprises rarely have anything to do with flowers or table settings. They're the little details that only become obvious once the day unfolds. If you're planning a Tuscany wedding or a destination wedding in Italy, these are the things I wish every couple knew beforehand.

Visit your venue at the exact time your wedding will take place

Most couples visit their venue around midday but get married in the late afternoon or evening. You're seeing two completely different places. The angle of the sun, the temperature and even the atmosphere change dramatically throughout the day. If possible, visit the venue at the exact time your ceremony or dinner will happen. It will help you decide where to hold your ceremony, cocktail hour and dinner far more confidently.

Your guests will arrive much hungrier than you expect

Many Tuscan venues are hidden in the countryside and often require a long drive from Florence, Siena or nearby accommodation. By the time guests arrive, many haven't eaten properly for hours. A generous aperitivo with drinks and substantial bites ready immediately creates a relaxed atmosphere from the very beginning. Guests who aren't hungry are noticeably more present during the ceremony.

Gravel is beautiful… until everyone wears stilettos

The iconic white gravel roads and courtyards are part of Tuscany's charm—but they aren't particularly heel-friendly. Mention this on your wedding website and recommend block heels, wedges or elegant flats. Some couples even provide heel protectors or comfortable slippers in the bathrooms, and they're almost always appreciated.

The prettiest ceremony spot isn't always the best one

When choosing your ceremony location, don't only think about the view. Ask yourself practical questions. Where will elderly guests sit? Will parents with babies have somewhere comfortable? Can everyone hear your vows? Where will the sun be after thirty minutes? The most beautiful ceremony is usually the one where guests feel comfortable enough to be fully present.

Olive trees don't create the shade you think they do

One of the biggest surprises for destination couples is the light beneath olive trees. Instead of soft shade, the leaves create countless small patches of sunlight across faces and clothing. During the middle of the day, portraits often look much cleaner beside stone walls, vineyards or in open shade while still capturing the unmistakable Tuscan atmosphere.

Plan your timeline around the light—not the clock

Instead of asking, "When should we take photos?", ask your photographer, "When is the light at its best?" In Tuscany, moving your ceremony by just thirty minutes can completely transform your gallery. The rolling hills, vineyards and cypress trees look entirely different during golden hour than they do earlier in the afternoon.

Dinner isn't part of the wedding—it is the wedding

Many couples focus most of their planning on the ceremony. In Italy, dinner is often what people remember years later. Long tables, local wine, incredible food and conversations that stretch late into the evening are the heart of the celebration. Don't rush it. Some of the best photographs happen once nobody is thinking about the schedule anymore.

Don't interrupt dinner with speeches every twenty minutes

One of the biggest atmosphere killers I see is splitting speeches between every course. Guests constantly stop eating, conversations never properly begin and the evening feels fragmented. Instead, let everyone enjoy their meal while it's hot, then group speeches together. The entire celebration flows much more naturally.

Ask your florist one question nobody else asks

Instead of asking which flowers look most beautiful, ask which flowers will still look beautiful after six hours outside in the Tuscan heat. Some delicate blooms struggle in direct sun, while others remain fresh from the ceremony until the final dance. Your florist will know the answer—and you'll notice the difference.

Dust is part of Tuscany

Your dress will collect dust. Your shoes will collect dust. Even the hem of your veil probably will. Don't fight it. The dusty roads, vineyards and olive groves are part of the landscape you've chosen. A dress that tells the story of the day is always more beautiful than one that stayed perfectly clean.

Keep grandparents close to cocktail hour

It sounds like a tiny detail, but it's one of the most thoughtful things you can do. Older guests are often the first to leave the ceremony and the least likely to enjoy long uphill walks to the aperitivo. Position seating, drinks and shaded areas with them in mind. These small logistical decisions often have the biggest impact.

Sunset isn't the same as golden hour

Never plan your portraits based on the sunset time you find online. Hills, vineyards and historic villas often hide the sun much earlier than expected. Your photographer will know when the landscape actually looks its best, which is often twenty or thirty minutes before official sunset.

Keep your seating plan simple

Guests should find their table within seconds. Complicated displays might look beautiful, but they often create queues instead of conversations. The quicker everyone is seated, the sooner the atmosphere begins.

Think about comfort when suggesting a dress code

Instead of writing "Formal Attire", give your guests practical guidance. Light fabrics such as linen or silk, comfortable shoes and sunglasses for the aperitivo will make a much bigger difference than strict dress codes. Comfortable guests stay longer, laugh more and enjoy the day far more.

Your guest book belongs near the bar—not the entrance

Almost nobody writes a meaningful message while arriving. Place your guest book near the bar after dinner instead. Once guests have relaxed with a glass of wine, the messages become longer, more personal and far more memorable.

Pack an emergency kit for dinner, not just the morning

Most emergency kits stay in the bridal suite all day. Instead, prepare a second small pouch for dinner with lipstick, blister plasters, tissues, blotting paper, pain relief, safety pins, a phone charger and deodorant. By the evening, that's when you'll actually need it.

Don't end photography after the first dance

Some of the most magical moments happen afterwards. The candles burn brighter, guests have forgotten about the camera, conversations become quieter and the entire atmosphere changes. Tuscany becomes something completely different after sunset, and those are often the photographs couples treasure the most.

Final Thoughts

The best weddings in Tuscany rarely feel busy. They feel effortless. That feeling doesn't come from adding more decoration or squeezing more into the timeline—it comes from removing unnecessary stress, trusting the rhythm of Italy and paying attention to the small details that no one talks about until after the wedding. Those are often the moments your guests remember long after the flowers have faded.
